​We have a structured procedure to manage complaints, ensuring transparency and fairness. 

​Complaints Handling Procedure

​Step 1: Acknowledging Your Complaint 

​Upon receiving your complaint, we will: 

​> Record it in our Complaints Register. 

​> Open a separate file for all related correspondence and documents. 

​> Send you an acknowledgment letter within five working days, either by post or email. 

​Step 2: Investigating Your Complaint 

​Within 14 working days of receiving your complaint, we will: 

​> Review your case file and any other relevant documentation. 

​> Provide you with a written response outlining our proposed resolution.

​If necessary, we will arrange a meeting with Mr. Vishal Gautam to discuss potential solutions.

​Should you require an interpreter, we are happy to provide one to ensure clear communication. 

​Step 3: Appealing Our Final Decision 

​If you are not satisfied with our final decision, please inform us. We will have another senior staff member review your complaint. You will receive the outcome of this appeal within seven working days.

​Step 4: Contacting the Legal Ombudsman 

​If you remain dissatisfied, you may contact the Legal Ombudsman within six months of our final response. 

​Please note the following conditions: 

​> You must have first attempted to resolve your complaint with us. 

​> The complaint must be made within one year of the issue occurring or when you became aware of it.
